Choose a point, not an area
“Meet at the mall” or “meet at the beach” leaves too much to interpret. Name the entrance, nearby landmark and whether people should wait inside or outside. Confirm that the location allows your group to gather without blocking access.
Send a map pin as well as words. Either one alone can be misunderstood.
Give arrivals one contact
Choose one person to handle calls and another to check attendance if the group is large. Share only the contact details those people agree to share. Ask guests to message if their arrival changes.
Set a departure time separately from the meeting time. Explain whether the vehicle waits and what someone should do if they miss it.
Prepare the late-arrival instruction
Write the destination entrance and host contact in advance so you can forward them quickly. Don't ask the driver to keep changing pickups once the route has started unless the group and driver agree.
Add the meeting point to your Outxie plan. Before sending it, read the instruction as if you've never visited the area. If it depends on “the usual place,” make it more precise.
Rules, fees and opening hours change. Confirm anything that matters before you rely on it.
