Divide costs by what they buy
Put transport and a shared booking in one column, per-person admission in another, and individual food or shopping in a third. Only split the first column equally if everyone agreed to share it.
For example, a hypothetical GHS 600 vehicle split six ways is GHS 100 each. If only five people confirm, it becomes GHS 120. These are arithmetic examples, not transport quotes.
Agree on cancellations first
Ask the provider what can be refunded and by when. Then explain how the group will handle a person leaving after a shared cost becomes fixed. Don't invent a refund promise the operator hasn't made.
Keep receipts and payment references in one place. Record who paid and what the payment covered without sharing anyone's private financial details in a public plan.
Close the budget after the outing
Compare actual shared spending with contributions. Return any surplus or obtain agreement for its use; don't assume it becomes a tip or an organiser's fee.
